Use cases
Collecta for year-end and tax prep: collect the whole year's documents without the back-and-forth
For year-end, give each client a year-end checklist: every account's statements, payroll summaries, loan statements and anything else you need. Import the year's uncategorised transactions too. Collecta lists what's missing, drafts one request for your approval, and reminds the client until the file is complete, so tax prep starts on time.
How a year-end run works
- Create a year-end template once and apply it to the clients who need it.
- Import the year's transaction export so uncategorised and unreceipted items become questions in the same request.
- Approve one request per client; each gets a secure link to upload against every item.
- Watch the dashboard: outstanding, received, overdue and days to complete, per client.
Monthly or year-end
When you sign up, Collecta asks whether you work monthly or at year end, and starts you with a template to match. You can use both: monthly checklists through the year and a year-end checklist for the close.
Security
Clients open a secure link with no login. Collecta stores only a hash of each link, keeps portal pages out of search engines, checks each file from its contents (up to 20 MB) and stores it privately. Only your signed-in team can download files.
Questions
Can a client answer instead of uploading?
Yes, for transaction questions: they type what the transaction was for. For a document they can't provide, they can leave a note, and you decide whether to mark it not needed.
Can I use it only at year end?
Yes. Archived clients don't count against your plan, so you can archive clients after the season and restore them next year. Plans are monthly; cancel any time.
