Use cases
Collecta for accounting practices: every client's missing documents on one dashboard
Collecta gives a small practice one view of what every client still owes. Each client is assigned to a bookkeeper; requests are drafted from checklists and imported transactions, approved by a person, and chased automatically. When reminders run out, the assigned bookkeeper is told. Practice costs $79 a month for 100 active clients and 5 people.
For the team
- Assign each client to a bookkeeper and filter the dashboard by assignee.
- Roles: owner, admin, bookkeeper and viewer. Only the owner handles billing.
- Escalation after the last reminder goes to the assigned bookkeeper, with what's still outstanding.
- An audit trail of every draft, approval, send, reminder, upload, answer and status change.
For the client
- One email per period listing exactly what's needed, from your firm's name.
- A secure link with no login: upload against each item or type an answer.
- Reminders that list only what's still missing, and stop once it's all in.
Security and data
Clients open a secure link with no login. Collecta stores only a hash of each link, keeps portal pages out of search engines, checks each file from its contents (up to 20 MB) and stores it privately. Only your signed-in team can download files.
Export period status, items and the audit log as CSV, or everything as JSON. Delete a client with all their files, or set old files to delete automatically after 1, 2, 3 or 7 years.
What you pay
Practice is $79 a month for 100 active clients and 5 people; Firm is $149 for 400 clients and 15 people. Every plan has every feature and a 7-day free trial.
Questions
Can reminders wait for approval too?
Yes. By default, approving a request approves its reminder schedule. Switch on approval for each reminder and every one waits in your queue until someone approves it.
Does it replace our practice-management software?
No. Collecta does one job: finding and collecting missing client documents. It doesn't do time tracking, billing or general task management, so it sits alongside the tools you use for those.
